Job Summary: 12 month Contract

Reporting to the Senior Manager, Mortgage Fulfillment and Funding, the Closing Officer (CO) will be responsible for the review of mortgage and legal closing documentation to ensure accuracy and satisfaction of loan closing conditions and remain a point of contact until a file is complete and funded.

The ideal candidate will ensure the “Know Your Client” legislation is adhered to on all files, work directly with a Closing Service Provider (CSP)/Solicitor/Title Insurer to obtain any outstanding documentation, and review and adhere to the company’s funding procedures and legal guidelines to ensure that all information is accurate and complete, prior to releasing mortgage funds. The incumbent will have detailed knowledge of the residential mortgage industry, conditions management and regulatory compliance, and demonstrate sound decision-making skills and the ability to meet strict deadlines within a fast-paced environment.

The Closing Officer is responsible for effectively communicating with and dealing with all phone calls and emails from a CSP, law firms and Title Insurers from the instruction stage through to the funding stage. This position also involves prioritizing, investigating and processing various documents and amendments ensuring all policies and guidelines are met. The Closing Officer will provide superior customer service and process all requests for funds from CSP/law firms/Title insurers accurately and on time.


What you will be responsible for:

  • Reviewing all mortgage documentation provided by solicitors to ensure it corresponds to the terms of the commitment and is in compliance with established regulatory and company guidelines and policies.

  • Ensuring thorough reviews are conducted on all files and adhering to the company’s funding procedures and legal guidelines.

  • Updating the mortgage administration system.

  • Reviewing timing of the required cash flow for advances based on the progress of the fulfillment of the funding conditions.

  • Responding to any questions or requests from customers, CSP/law firms/title insurers or internal staff members to ensure timely and accurate completion of each mortgage transaction and that documentation is complete.

  • Following up with Closing Service Provider /law firms for mortgage registration documents on a timely basis to facilitate the securitization of the mortgages.

  • Working closely with the underwriting team and escalate any issues or questions as required.

  • Ensuring files are accurately reviewed and archived to achieve strong Quality Assurance audit results. Spell check and grammar check for accuracy.   
  • Demonstrating a strong commitment to broker/client service including consideration of all options to ensure file is funded on time.

The work experience, skills, education that you bring:

  • Post secondary education in business or finance.

  • 2-3 years working in mortgage administration.

  • Ability to manage risk and compliance and demonstrate the highest standards of integrity and ethical conduct.

  • Strong interpersonal and communication skills.

  • Works well in a team and has confidence dealing with people and addressing issues.

  • Sound problem-solving skills.

  • Concise attention to detail and the tenacity to complete the task properly.
